Sponsorship Guidelines
Sometimes it seems like things like events with great speakers just happen. Not so. These things could not and would not happen without the support of our sponsors, who provide the refreshments, meeting space, legal fees, bandwidth, server space, speaker fees, and all the other things that SEVAJUG needs.
By supporting SEVAJUG, you or your organization can support our important work of educating the public about the Java programming language and its related technologies. Your donations make our programs possible and increase our ability to reach people in the Hampton Roads area and provide them educational opportunities that they just won't find anywhere else.
Although all donations from sponsors are considered gifts in support of our mission, we like to show our appreciation to our sponsors by offering the following benefits as our way of saying thanks. SEVAJUG offers four levels of benefits for our sponsors. Platinum, Gold, and Silver sponsorships are for a period of one year; Bronze sponsorship is per-meeting.

About the Logo benefit
Logo placement on both the sponsors page and (for platinum sponsors) the main page is based on total lifetime contribution to SEVAJUG. Donors who have contributed greater amounts will be placed higher (within their sponsorship tiers), then in alphabetical order.
About the 10 minute spot benefit
The 10 minute spot benefit is subject to the following limitations:
- Spots are scheduled and the time must be requested at least one month in advance.
- If more than one sponsor requests the same month, preference will be given to sponsors of higher levels of sponsorship, then to sponsors with longer terms of sponsorship.
- The spot schedule will be planned out one year in advance.
- Spots will generally be uniformly scheduled, with no more than three
spots per meeting.
- Spots will be scheduled so that there is one spot per meeting for the next year.
- All those spots must be booked before a second spot will be scheduled for any single meeting.
- Two spots will need to be booked for each meeting for the year before a third spot will be booked for any meeting.
- No more than three spots will ever be booked for any one meeting.
- Sponsors are responsible for scheduling their spot so that they get to use their benefit before their year of sponsorship expires. The benefit cannot be carried from year to year.
- SEVAJUG reserve the rights to deviate from this scheduling plan under extenuating circumstances to ensure fair distribution of the benefit (such as rescheduling spots from meetings cancelled due to inclement weather)
Donated Goods and Services (Gifts in Kind)
If requested, SEVAJUG may provide sponsorship benefits in consideration of donated goods and services if they serve the ongoing needs of the organization (such as donated meeting space, refreshments, etc.). Such requests must be approved by the Board of Directors, who has sole discretion to approve or reject such requests. Gifts in kind will be treated as equivalent to cash donations equal to the fair market value of the donated product or service. Requests to receive sponsorship benefits for a gift-in-kind in lieu of a monetary contribution should be made to the board of directors prior to making such a donation.
Miscellaneous
We are a non-profit corporation and are currently applying for Section 501(c)(3) tax-exempt status. However, at this time, donations to SEVAJUG cannot be considered charitable contributions and are not tax deductible.
Sponsors are welcome to present at meetings. However, topics presented should be Java-centric, and not centered around the products or services offered by the sponsor.
